    Once the quote is accepted, a contract between Southwest Charlotte Property Management and the property owner will be signed, outlining the terms of service, including payment methods and transfer details.

  • A percentage of the total rental collection will be deducted for management fees, which vary based on several factors, including the property's location, the number of units, rental income, the size of the lawn and parking lot, and the overall condition of the building.

    Additionally, property owners are responsible for ongoing costs related to maintenance, repairs, and materials.

  • For rental properties, after monthly rental collection and the deduction of building maintenance expenses and the agreed-upon management fee, the remaining revenue will be transferred directly to you, the property owner. Along with this transfer, you will receive a detailed spreadsheet outlining your building's expenses and revenue for the month.

    Owner payouts will occur on or before the 10th day of the following month. This process enables us to streamline the invoicing of maintenance and renovation work by deducting charges directly from the payout and providing detailed statements.

    We will request a copy of your Pre-Authorized Debit form to facilitate the direct transfer of funds to your chosen bank account.

  • For a fee, we offer a comprehensive tenant placement system designed to streamline the rental process and secure high-quality tenants for your property. We begin by capturing professional photos, crafting a detailed listing, and promoting the property. Our process includes issuing and reviewing applications, conducting thorough follow-ups with references, performing credit checks, and ensuring clearance of any criminal records.

    Qualified applicants are then shown the unit, and upon selection, we manage the lease signing, security deposit collection, property walkthrough, and key handover. This service includes a three-month stay guarantee; if the tenant does not remain for the full duration, we will find a new tenant at no additional cost.

  • All tenant maintenance requests are promptly received and evaluated. If a request is deemed valid, our maintenance crew will be dispatched to carry out the necessary repairs. Property owners will be notified of any maintenance items that exceed $1,000 in cost.

  • Any maintenance costs exceeding $1,000 (unless otherwise specified) will require notification and approval from you, the property owner. For smaller expenses, the costs will be deducted from your monthly rental income, with the remaining net balance transferred to you.

    If your expenses exceed your rental income, you will be required to remit the outstanding balance to Southwest Charlotte Property Management Group via check or e-transfer. Please note that unpaid balances will incur a 2.5% monthly compounding financing fee on the total outstanding amount.

  • Yes, you must keep all third-party accounts in your name. Southwest Charlotte Property Management cannot take responsibility for your utility accounts, mortgage, or pay property taxes on your behalf. If you intend to rent out a unit with some or all utilities included, it is essential to ensure that all accounts are up to date to prevent service interruptions.

  • Absolutely. We offer the convenience of digital contract signing for all owner agreements and maintain open lines of communication via email or phone. Once we have access to your property or units, our team will manage all aspects of property management from there.

  • Building owners are responsible for remitting HST to the government, as mandated by law. Southwest Charlotte Property Management will prepare detailed annual statements to facilitate easy tax filing and remittance.

  • We want to ensure you feel unrestricted in our partnership; therefore, our management agreement includes a 60-day written notice clause that allows you to cancel without any penalties.
